Overview

Sony requested assistance with their facilities operations’ software at their San Mateo, CA location. Sony realized that as they uncovered the full functions of their existing Computer Aided Facilities Management (CAFM) system, the system was not rich enough to meet their growing needs. Impec led detailed discovery sessions and provided several options for Sony to review. A solution was chosen and implemented followed by requests for ongoing support.

Problem

Sony requested data and functional use guidance for their existing CAFM system. Impec Group provided support for their installed system including data quality services and fine-tuned the system to better meet Sony’s facilities management needs.

When it became evident to Sony that the existing CAFM no longer met their needs, Impec’s advisory services division assessed their data requirements, shared current marketplace offerings, and worked closely with their procurement team to source a new solution that better addressed Sony’s present and future needs.

Impec Group approached this opportunity by leading discovery sessions to uncover both existing and emerging facilities management needs and shared these with facilities and procurement departments to assist with the selection process. Sony chose five options for Impec to review on their behalf. Impec created a product comparison with pros and cons of each short-listed vendor as well as a fit-gap analysis between vendor system functions and Sony’s needs.

Strategy

Impec’s Technology and Strategy teams utilized a proven framework to identify a client’s functional needs. This approach, coupled with customized needs assessment discussions, led to superior requirement definitions. The Sony project team followed this methodology, creating a baseline list along with specific departmental needs that would ensure the chosen solution was successful across all company facilities.

Results

Impec Group guided deliberation discussions with Sony, who eventually selected Nuvolo Connected Workplaces. Upon selection, Sony asked Impec to continue providing product expertise and assist with the implementation.

After exceeding Sony’s expectations during the implementation, Impec was asked to provide ongoing support and to maintain the new system including CAD floor plan maintenance, data quality and floor plan management, and standards oversight. Subsequently, Impec was asked to provide further configuration management and support services in 2023.
